POSITION SUMMARY:

The Student Clerk will provide essential administrative support to ensure efficient operation of the office. This role involves performing a variety of tasks including data entry, filing, scheduling appointments, and managing communications. The ideal candidate will be organized, detail-oriented, and capable of handling multiple responsibilities with a positive attitude.

ESSENTIAL FUNCTIONS:

Office Management 

  1. Maintain a clean, organized, and welcoming office environment. 
  2. Monitor and order office supplies as needed. 

Administrative Support: 

  1. Answer and direct phone calls, take messages, and handle correspondence. ● Schedule and coordinate meetings, appointments, and travel arrangements. ● Assist in the preparation of regularly scheduled reports. 

Data Management: 

  1. Enter and update data in databases and spreadsheets. 
  2. Maintain filing systems both electronically and physically. 
  3. Retrieve information as requested from records, emails, and other related documents

Communication: 

  1. Greet and assist visitors, clients, and employees with professionalism. 
  2. Handle incoming and outgoing mail and packages. 
  3. Communicate with clients and staff to provide information and assistance. 

Project Assistance: 

  1. Support team members with various administrative tasks and projects. 
  2. Coordinate and assist with event planning and execution.

QUALIFICATIONS:

  • High school diploma or equivalent; additional education or certifications in office administration or related fields is a plus. 
  • Preference given to individuals enrolled and attending University of Hawaii at Mānoa
  • Preference given to students who qualify for Federal Work Study 
  • Proven experience as an administrative clerk or in a related role. 
  • Proficient in MS Office (Word, Excel, PowerPoint) and office management software. 
  • Excellent written and verbal communication skills. 
  • Strong organizational and multitasking abilities. 
  • Attention to detail and problem-solving skills. 
  • Ability to work independently and as part of a team. 
  • Familiarity with office equipment such as printers, copiers, and fax machines.
