POSITION SUMMARY:
The Talent Acquisition Administrator plays a key role in supporting the YMCA of Honolulu’s mission to strengthen the community by ensuring a seamless and welcoming hiring experience. This role provides administrative and operational support to the Talent Acquisition team, helping to manage applicant tracking, communication, interview coordination, and onboarding. The administrator serves as a critical point of contact between applicants, hiring directors, and the HR team, ensuring timely, accurate, and mission-aligned hiring practices.
ESSENTIAL FUNCTIONS:
- Support the YMCA’s values of caring, honesty, respect, and responsibility in all recruitment-related communication and processes.
- Monitor and manage applicant progress within multiple systems, ensuring accurate and timely updates throughout the hiring process.
- Coordinate and schedule applicant interviews with hiring managers, ensuring a professional and efficient experience.
- Prepare and issue offer letters, reference checks, and background screening requests in compliance with YMCA standards and state regulations.
- Track and maintain hiring documents, including job descriptions, pre-employment forms, and compliance records.
QUALIFICATIONS:
- Associate’s degree in Human Resources, Business, or a related field preferred.
- Minimum 1–2 years of administrative or human resources experience; experience in talent acquisition or applicant tracking systems preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new systems such as JazzHR and HRIS platforms.
- Strong communication and customer service skills with the ability to manage multiple priorities and deadlines.
- Highly organized with strong attention to detail and confidentiality.
- Ability to work independently and as part of a collaborative team in a fast-paced environment.
